Service Order
What is a Service Order?
Service Order is an Order for performing a service on an Item. It contains a Service Job for each task to be performed.

What is a Service Job?
Service Job is the type of generic task to be performed - like Install, Repair, Clean, Inspect, etc. Multiple jobs can be created in a single order - as the new tasks are identified while working on an item.

Who can create Service Order?
Only Users can create Service Orders - because they own the Items. Users will pass the Service Order to Provider to perform services. After Provider completes the work/service, Provider sends the completed order back to User. User will then review and Close the order.

What are the different states of an Order?
Following are different Order Statuses:
  • OPEN -> when Order is created by the User
  • QUOTING -> when Order has been sent to Providers for Quotes
  • SERVICING -> after a Provider is selected for the service, the Service Order is assigned to Provider for performing the service
  • COMPLETED -> after Provider completes the Service and sends it back to User for review
  • CLOSED -> This is the end state of an Order. After User reviews the Item and services performed, User will close the Order

Can Provider update Jobs and Order during servicing?
During servicing time, Provider can update most of Service Order information - except the basic information like associated Item, Service Category, and Order Title. Provider can update all of the Job Information - and all the major changes like changing Job Cost, Task Type and Status will need User Approval. Provider can also create new Jobs as needed - and these new Jobs will need User Approval. Provider is expected to add Service Shoots to Service Order and Service Jobs - to help User keep-up with the Service.

How are User and Provider alerted about these Service Order and Service Job changes?
For all Status/state changes of Service Order and Service Job done by User, an email is sent to Provider. Similar for all Status/State changes done by Provider, an email is sent to User. Provider and User can add Comments to Service Order at any time - until the Order is closed.

What type of Service Shoots can be added to Service Order and Service Job?
Service Order can contain SERVICE SHOOT - to explain the actual service to be performed. User is expected to add the first Service Shoot to the Order. Service Job can contain the following types of Shoots:
  • BEFORE SERVICE -> Shoot before Service is performed.
  • DURING SERVICE -> Shoot during Service is being peformed.
  • AFTER SERVICE -> Shoot after Service is completed.
Before and After Shoots are very useful for every service Job. During Service Shoot is recommended for long running or complicated services. Provider is expected to add all Service Shoots to Order and Job.

How are User and Provider alerted about these Service Order and Service Job changes?
For all Status/State changes of Service Order and Service Job done by User, an email is sent to Provider. Similarly, for all Status/State changes done by Provider - an email is sent to User. Provider and User can add Comments to Service Order at any time - until the Order is closed.

Do all Service Orders required to go to a Provider?
No. User can enter Service Orders and close them. This is useful to track services that were already performed on Items.

Can Service Orders and Service Jobs be Deleted?
Sure, User can delete Service Orders and Service Jobs before assigning them to Providers. After Provider starts working, Service Order and Service Jobs can not be Deleted. If an existing Service Job is not needed, Provider can work with User to Decline the Job (which is close to Deleting). If Provider and User agree that the Service Order should be closed with no work, then Provider can complete the Order and User can Close it.
