Service Quotes
How can an Order be quoted?
After an Order is created, User can select Request for Quotes button to go to Quote Request page. All available Providers are listed (based on their Service Region and selected Service Categories) automatically. User should select interested Providers and click on Send button. An email will be sent to Providers for every new Quote Request. Providers can review Quote Requests and send Quote Responses to User.

Which Provider can receive and respond to quote requests?
Providers will register for Service Regions and register to perform selected Service Categories. By default, only Registered Providers can receive and respond to Quote Requests - based on their Service Regions and Service Categories. User has an option to search for any registered Provider in the system (ignoring Service Regions and Service Categories) and send them the Quote Request. User can also enter new Provider information and send them the Quote Request. New Providers are required to register at Service Shoot to send Quote Responses.

How soon Provider should respond to the quote request?
Every Quote Request has Request Expiry Date - and Provider is expected to respond to the quote on or before Expiry Date. After Request Expiry Date, Quote Request will be automatically closed. Provider cannot respond to that Quote Request any more. By default, Expiry Date is 2 days after the request is sent. User can change the Expiry date - as needed.

What happens when Provider responds to a quote request?
If Provider submitted a Quote, then user will review and process within Response Expiry Date. If Provider refused to provide quote response, then user will be informed about it. User has to wait for other Providers and User can also send Quote Requests to more Providers.

How soon User should review and process quote responses?
Every Quote Response has Response Expiry Date - and User is expected to review and approve/decline the quote response on or before Expiry Date. After Response Expiry Date, Quote Response will be automatically closed. User cannot approve or decline that Quote Response any more. By default, Expiry Date is 2 days after the response is sent. Provdier can change the Expiry date - as needed.

What happens when user processes a quote response?
When Provider submits a quote response, User can Approve or Decline the response. When User approves a quote response:
  • This Provider will be assigned to the Service Order.
  • All other outstanding quote requests for this Order will be closed.
  • This Service Order and all associated outstanding Jobs will be automatically Approved.

What if all quote requests are expired or refused?
If all quote requests are expired or refused, then the Service Order will automatically updated to Open status. User can add more information to Service Order/Job and resend Quote Requests to other Providers. Or User can also close the order.

What if user declines all quote responses?
If all submitted quote responses are declined, then the Service Order will automatically updated to Open status. User can add more information to Service Order/Job and resend Quote Requests to other Providers. Or User can also close the order.

Can an Expired quote request or response be renewed?
No, Expired Quote Request or Quote Response can not be renewed at this time. If needed, we can consider this enhancement for a future release.
